Waipā District Council, nestled in New Zealand’s scenic Waikato region, has long been committed to delivering vital public services while driving sustainability initiatives. Managing a fleet of 165 vehicles that supports services like waste collection, road maintenance, and public transportation is no small feat. Recognising the need for a more efficient and data-driven approach to fleet management, Waipā District Council partnered with Fleetyr to revolutionise how they track and optimise their fleet.
The Challenge: Manual Data and Inefficient Reporting
Waipā District Council had previously relied on a combination of manual processes and basic telematics for fuel usage and fleet management. While functional, this approach lacked the sophistication needed to identify inefficiencies, track fuel anomalies, and support the Council’s sustainability goals. They needed a more robust solution to handle both fuel and telematics data, reduce administrative burden, and ensure better utilisation of their fleet assets.
The Solution: Fleetyr’s Data-Driven Integration
In late 2023, Waipā District Council made a decisive change. They transitioned to Teletrac Navman 360 as their telematics provider and enlisted Fleetyr to help automate the integration of fuel card transactions and telematics data. Fleetyr’s custom-built solution was designed to ingest daily BP fuel card transaction data into Fleetyr’s BYO Analytics platform, while also restructuring telematics data from Teletrac Navman via API calls.
The result? A seamless integration of both datasets into a series of 10 customised dashboards within the Council’s existing Microsoft Power BI environment. By embedding these dashboards into SharePoint, Fleetyr ensured that the fleet team always had up-to-date, real-time insights.
The Impact: Data-Driven Decisions and Sustainability
Fleetyr’s analytics platform not only helped automate fuel reporting but also uncovered inefficiencies and fuel anomalies that were previously hard to detect. This allowed the Council to take data-driven action on under-utilised or over-utilised assets, helping optimise fleet operations and reduce unnecessary costs. As a direct result, Waipā District Council can now process over 300 fuel transactions and more than two million rows of data each month, all while staying aligned with their sustainability objectives.
“Fleetyr has been a game-changer for us,” said Claire Vincent, Fleet and Travel Coordinator at the Council. “Their system has made it easy to track our fleet performance, find anomalies, and share insights across departments without the need for manual calculations. This has saved us both time and effort.”
Looking Ahead: Continued Innovation
Waipā District Council continues to benefit from Fleetyr’s solutions, allowing them to focus more on achieving their sustainability and operational goals. As their data insights evolve, the Council is better equipped to meet the changing demands of fleet management, ensuring that they remain an efficient and environmentally conscious organisation.
“We’re excited about the future and the tools Fleetyr has provided. They’ve given us a platform that not only solves current challenges but also positions us for future success,” Claire Vincent concluded.
